Our approach begins with a lot of discovery. As you investigate and size us up, we will do the same. We're looking for a good match, because we're looking to build a long-term relationship. Call it sales, but we want a win just like you. We need to know that your project has the proper sponsorship, that the stakeholders share common expectations and commitment, and that the project has funding, or budget consideration.

Project Charter: Requirements & Design Specification Documentation

From our years of working with clients, SyncSite has developed a comprehensive approach to help companies navigate through this Journey. SyncSite’s Project Charter consulting engagement allows companies to Document their Requirements providing a solid justification for CRM, while creating a Design Specifications Document for deploying CRM that ensures a successful implementation process. The logic is simple. You wouldn’t build a house without an architect’s blueprint, much less journey to an unknown destination without a roadmap. This CRM Project Charter focuses on addressing all of the relevant factors within your company in developing a clear understanding of the values of CRM, the potential paybacks (ROI), and the possible risks associated with your company’s CRM initiative. The outcome of this Project Charter is a written Requirements Document that can be used as a justification for the project to executive management and sponsors, and a Design Specifications Document that outlines the proper action steps to take to ensure the success of your project.

Project Charter Process

Prior to the Project Charter, we may conduct phone or on-site surveys and provide your project team with survey documents to complete. We may also request internal documentation of current processes and procedures. The Project Charter is structured into two distinct parts:

  1. On-site interviews with project stakeholders
  2. Requirements and Design Specifications Documentation

On-Site Interviews

During this phase of the engagement we will conduct on-site interviews with various individuals and groups, depending on the information gathered during the discovery process. This investigative phase is an intensive process that requires participation by the entire project team, as well as others that we determine are important to the initiative. Prior to the on-site visit, we will develop a schedule for the interviews. This on-site phase requires two consultants and typically requires five to ten working days to complete.

Requirements & Design Specification Documentation

Following the on-site phase, we will start the development of a Requirements Document for your initiative. At the beginning we will compile and review information we have gathered and look for areas that need clarification or further development. We may need access to various project team members by phone to gain this additional information.

The process for completing the Requirements and Design Specifications Documents is typically two to four weeks, depending on the complexity of the initiative. Once completed, we will schedule a review date to review with your project team and discuss the findings. This review is normally a full-day on-site meeting.

Building a Solid Foundation

With the Requirements Document defining the project, and the Design Specifications Document plotting the course, the plan is in place to move forward. Depending on your specific needs and objectives, our role is to facilitate the transition to a CRM solution. This includes addressing internal risks and managing the transition.

Implementation

Once a determination of CRM software solution is made, we move to the technology implementation phase of the project reviewing the functional requirements and the project plan for implementation. An implementation project manager will work in conjunction with the project team to coordinate all aspects of the implementation. Depending on requirements, we provide data migration services, installation, customizations and training.

Training

Since project rollouts and user abilities vary, we design the training schedule to those requirements. Typically user training starts with a one-day, six hour, classroom training session. Additional training consists of online resources and follow-up classroom training sessions depending on specific needs.
